When you register, you will be asked about your dietary needs. Please let us know so we can make arrangements with the caterers.
The conference schedule (including meal times, etc.) will be posted soon after the Early Bird Registration closes on April 2, 2025
Room reservations are separate from conference registration and not included in the conference registration fee. See Accommodation and Travel for more information.
Cancellation Policy
All cancellations incur an additional $25 administrative fee. Requests for refunds will be accepted until May 15, 2025. Unfortunately, we are unable to accept refund requests submitted after May 15, 2025.
We have now opened registration and you should find all the relevant information for in-person attendance there. You will need an EasyChair account for this.
The rates are (in Canadian dollars):
- 525.00: Early Bird attendance (Available until April 2, 2025)
- 575.00: Regular attendance
- 350.00: Student attendance
- 350.00: UBC staff
The conference is entirely funded to cover costs. We have kept the fees as low as is practical.
Please note that if you can pay by credit card, it will be much simpler (see below). You will need to be registered in EasyChair (if you have made a submission this will already be the case); if not, you will be prompted to do so.
In case it is not clear how to go about it, please see below. Exactly what you see will probably vary (eg. fewer roles showing).
First steps
When logged in, you should see your ‘roles’ (eg Author). If you have not submitted a proposal, you will need to add the conference to your profile. Search for TC2025 or open this site https://easychair.org/my/conference?conf=tc2025
Listed there you should see a statement that registration is currently open and a link to ‘start registration’:

Register yourself
You should arrive at a screen that lets you Register Yourself, via the top-right corner (shown in the graphic below)


Registration gathers the personal data, dietary and accessibility needs, and so on initially. You can pause at this point: payment is a second step.

Payment
You will be offered three possibilities:

- pay online now
- download a payment link
- apply for permission to pay by wire transfer – this option is not available for this conference
1. Pay Online Now
This will offer VISA, Mastercard or Maestro (not Amex). When asked for your email address, please use the email associated with your credit card – if it is different from the email you used to register.
We appreciate that many will wish their institutions to make the payment direct but often require specific invoicing and so on, which is not an option in this case as we are using Easychair to collect the payments. Please see if your institution will work with the ‘download payment link’ option and apply to use wire transfer only if this is not viable. If you do so, please get in touch (andrea.webb@ubc.ca) to work through the logistics.
2. Get a Payment link
This will show you something like this (although updated for 2025 registration):
