Guidance for Shift Commanders

‘Shift Commanders’ are full hosts or alternative hosts for an entire ‘shift’ at a time and ‘own’ the meeting room, in Zoom terms. They are not expected to be present every minute of their shift but will check in regularly in case anything needs doing.

The only role that the Shift Commander exclusively plays within the conference is that of starting (or restarting) the room, setting up the captioner for the keynotes, and ending the meeting.

Checklist

Before the session

  • Double check the schedule for who is chairing and who is speaking next;
  • Open the Zoom meeting shortly before the shift starts, in good time for the first session to get itself organised;
  • if it is not a session with a keynote, turn on auto-captioning by clicking on ‘Live Transcript’ (to the right of Record) and ‘Enable Auto-Transcription’
  • Captioning – When the Captioner arrives, assign them to type.
  • When the keynote is over, turn on auto-captioning;
  • Assign hosting rights if someone else is chairing the upcoming session –essentially try never to be the sole active host;
  • Remind participants about recording. If you don’t want to be seen, please turn off your camera. We can also pause it if you wish to speak and the request will be edited out before publication of the video.
  • Start the recording of the shift (perhaps after the welcome, but feel free to do it before then, to be sure);
  • Give a brief welcome;
  • Start the recording :)

At the end of your sessions, you simply need to End Meeting which will automatically end recording.
