Checking your video

Short version:

Please let us know if we have permission to include the video of your presentation by clicking here, saying yes or no, and sending the email. Videos (but not blog posts) for which we do not have explicit permission will be removed at the end of September. Emails with a different subject may be missed initially, please don’t edit it!

We will prioritise removing ones that people are unhappy with as soon as we can (and will check for those regularly). You should get an auto-reply to confirm receipt.

Longer Version

We said you would have a right of veto as presenters over video before they went public. Because the logistics of that are complex, I hope you don’t mind a halfway solution.

Every talk has a blog page, organised via session. On that page are: name and title, the original abstract, possibly the slides (if we received them) and possibly an embedded link to a YouTube video (subject to various constraints). These videos are currently ‘unlisted’ but viewable with the links in the attached document. Please do not distribute any links at this point as we do not have permissions yet from presenters. We also ask that you resist the temptation to peek at others, please.

We’re asking you to do two things, one swiftly, one more thoughtfully:

  1. Confirm (or deny) clicking here, saying yes or no, and sending the email as soon as you get a chance that you are happy to have your video public (we obviously recommend you check it, in case we linked to the wrong video or similar!) You do not have to give reasons, but we need a clear mandate (or not); I ask you to avoid vagueness and be quite formal, please! “I do not wish my video to be available” is better than “I’m not entirely happy with my video”:)
    The sooner we get this, the better, please, especially if you do not want your video to be available. We ask that you do not at this stage watch anyone else’s talk but wait for us to confirm that the site is fully ‘permissioned’ (it will also be reorganised when we are ready to go public – currently you will not find it very navigable!)

  2. Much less hurried, is that we will make one set of edits to each blog page, under two headings: corrections (eg authors names to be swapped round as one did not present, copy/paste errors and similar). Please do collect all edits together in one message as we need to keep the work on this from spiralling and will only make one set of edits to each post – the blog is intended to be an archive rather than anything else.

The one exception to this is that we welcome an optional paragraph or so of reflections of ‘later thoughts’ which will be appended. These can include anything that emerged during the discussion, partly because we have not included the discussions, questions-and-answers and so on: the video should be simply your presentation. The reasons for this are explained in the FAQ.

Please use this link to create an email to let us know if you would like to make any edits as outlined above. A list of changes within the email or new text in an attachment are fine. If we do not hear from you by September 30th, we will retain the blog post as it is (but remove any videos we do not have explicit permission for).

Thanks again for your part in a great conference. We will let you know when the blog is complete (the design of the blog will be completely changed so people can find your talks).
